Artificial Intelligence is already reshaping how organisations operate. From automating tasks to improving decision-making and unlocking new efficiencies. But the speed of adoption has left many companies without clear oversight, exposing them to data protection, ethical, and security risks.

Whether you’re exploring ChatGPT for content generation or rolling out more advanced machine learning models across operations, it’s critical to adopt AI in a way that is safe, transparent and legally sound. That means more than just choosing the right tools. It requires robust governance, cross-functional collaboration, and a clear understanding of how your organisation’s data is being used.

Implementing and developing AI responsibly is essential in order to fully reap the benefits associated with AI. Below are 10 practical steps to support your organisation with effective AI adoption.

1. Adopt Robust AI Governance and Policies

Implement comprehensive AI governance policies that address key compliance risks such as data protection, cyber security, intellectual property and ethical considerations. Guidelines for acceptable AI use and oversight committees should be established to monitor AI initiatives.

2. Define Clear AI Use Cases Aligned with Strategic Objectives

Identify specific challenges AI can support with or solve within your organisation. For example, you could use ChatGPT to automate customer service responses or Azure AI for proposal and report writing. Each AI application that you use should align with your strategic objectives and deliver tangible value.

3. Approved AI tech only

Employees may use unauthorised or unapproved AI without your knowledge of oversight. Only approved AI should be used to ensure appropriate controls have been put in place to mitigate any risks associated with the relevant tool.  Implement monitoring systems to detect unapproved AI usage.

4. Human oversight

Include human oversight in AI decision-making processes to mitigate compliance risks such as bias. For instance, humans should be involved in any recruitment processes where AI is used to make decisions about job applicants.

5. Protect Intellectual Property and Sensitive Data

Avoid inputting proprietary information into AI tools where possible as data entered may be stored or used to train models. Establish controls to prevent the exposure of confidential information and only procure AI solutions that provide robust data protection and cyber security assurances.

6. Address Accuracy Issues

Implement processes to ensure that AI systems used are reliable and accurate. For example, robust data validation controls should be adopted. Also, train your employees to critically review AI-generated content so they check the accuracy of outputs and look for any errors.

7. Continuous Monitoring

Consistently monitor any AI tools that you are using to ensure the technology is meeting expectations. For example, establish key performance indicators to assess the effectiveness of AI applications. This ongoing evaluation helps with issues spotting and refining AI strategies over time.

8. Foster Internal Collaboration

Encourage a multidisciplinary approach to your AI implementation. Key departments such as IT, legal, compliance and operations should be involved in any AI deployment to ensure a holistic approach is adopted to enable effective implementation from an operational, compliance and strategic perspective.

9. Raise awareness and understanding of AI

Increase your employees’ understanding of AI from a technical, operational, compliance and ethical standpoint so they understand the benefits and risks associated with using AI technologies. This knowledge will empower employees to use AI tools effectively and responsibly.

10. Keep abreast of AI Regulations and Best Practices

AI is developing at a phenomenal pace from a technological and compliance perspective. Stay abreast of evolving AI regulations and industry best practices to ensure compliance and ethical AI use.
